Cancellation Policy
The Extenuating Circumstances Policy provides clarity on how cancellations are managed when unforeseen events beyond a member’s control arise after booking, making it impracticable or impossible to fulfill your reservation. This Policy applies comprehensively to reservations for accommodations and Experiences, encompassing both swapping options, more specifically HomeCoin Swaps and Mutual Swaps.
In situations where this Policy permits cancellation, it supersedes and governs over the reservation’s standard cancellation policy. Guests and hosts impacted by events covered under this Policy have specific guidelines to follow depending on the type of swap involved:
1. HomeCoin Swap
At MyHomeSwaps we utilizes a points system to facilitate property exchanges between members.
We believe in providing flexibility for our members when it comes to cancellation policies. That’s why all members have the option to set their preferred cancellation policy for each property they list on our platform, accessible via the My Listings feature. Moreover, members retain the ability to adjust these policies as needed by simply editing the details of their listing.
It’s important to note that each home or property listed on our platform can have its own specific cancellation policy, tailored to meet the preferences and needs of both hosts and guests. This means that if a member owns multiple properties, they can assign a unique cancellation policy to each one.
However, we do have some safeguards in place to ensure fairness and consistency in our HomeCoin Swaps.
Once a HomeCoin Swap is initiated and booked, the cancellation policy associated with the receiving property cannot be changed for that specific swap. Any modifications made to the cancellation policy during the cancellation period or while the swap is in progress will only apply to future exchanges, ensuring that ongoing transactions are not disrupted.
To ensure a fair and transparent process, we have established the following cancellation policy:
- Pre-existing Cancellation Policies: Any cancellation policies set by the host and visible in the Property(listing)Page, before the swap will remain in effect. This ensures clarity and consistency in the event of a cancellation.
- Premature Cancellation: Should either party decide to cancel the swap prematurely but still within the stated cancelation period, a HomeCoin refund will be automatically initiated. This refund will be equivalent to the HomeCoin value associated with the cancelled swap.
- No Refund After Cancellation Deadline: Once the cancellation deadline has passed, there is no requirement for a refund.
- Exceptions: In cases of unexpected circumstances(and outside of the cancellation deadline) such as changes to visa or passport requirements imposed by a governmental agency that prevent travel to the destination, or declared emergencies, epidemics, unexpected disease, illness, injury, or other, the responsibility lies with both parties participating in the swap. However, users may still contact our support team if they wish to discuss the possibility of a HomeCoin refund in exceptional cases. The outcome of this request will be made solely by MyHomeSwaps’ discretion, meaning the final judgment lies solely with the organization.
- How Long Does it Take to Get a HomeCoin Refund: Refunds for HomeCoin Swaps will be processed automatically upon premature cancellation based on the members cancellation policy. However, it may take a few business days for the refund to reflect in the user’s account.
2. Mutual Swap
Our Mutual Swap option encourages users to synchronize their trip details effectively, fostering communication and collaboration between members. Therefore, we do not enforce specific cancellation policies for this type of swap. Instead, we trust our users to coordinate their plans responsibly.
What to Do Next:
In the event of a cancellation, users are encouraged to take the following steps:
- Communicate: Promptly inform the other party involved in the swap about the decision to cancel. By doing so, you not only demonstrate respect for their time and plans but also provide them with the opportunity to explore alternative arrangements or solutions.
- Contact Support: If assistance is needed or if there are exceptional circumstances surrounding the cancellation, users can reach out to our support team for further guidance and assistance. Our dedicated support team is available to provide further guidance and assistance as needed. Additionally, if possible, MyHomeSwaps will take proactive measures to alleviate the impact of the cancellation. This may include reaching out to other members in the area of interest to inquire if they are interested in a possible swap to replace the canceled one.
- No HomeCoins will be exchanged during a Mutual Swap.
What if a guest needs to cancel because of an emergency?
In the unfortunate event that a guest needs to cancel a swap due to an emergency, the following steps need to be taken:
- Contact the Other Swapping Member: The guest should promptly inform the other swapping member about the cancellation. This allows the other party to be aware of the situation and potentially make alternative arrangements if necessary.
- Contact Support: After informing the other swapping member, the guest should reach out to MyHomeSwaps support team. This can be done to seek assistance and explore potential solutions to mitigate the impact of the cancellation. Our support team is available to provide guidance and support in such situations.
Please Note:
It is strictly prohibited and against the policies of MyHomeSwaps for any member to request or offer transfer, compensation, or any form of payment in exchange for a swap, whether it involves HomeCoins or financial compensatio.
Our platform operates on principles of fair and equitable exchange, and any attempts to engage in transactions outside of this framework are considered violations of our terms and conditions.
We uphold the integrity of our community by ensuring that all swaps are conducted without any exchange of monetary value beyond the agreed-upon terms of the swap itself. Any instances of such behavior will be addressed promptly and may result in disciplinary action, including account suspension or termination.
We encourage all members to adhere to our policies and to report any instances of misconduct to our support team for appropriate action.
Other things to be aware of
HomeCoins are exclusively a virtual currency within the platform and hold no intrinsic value outside of MyHomeSwaps.
We will not provide any financial compensation resulting from a swap cancellation of any kind or a membership cancellation of any kind unless specifically agreed upon between MyHomeSwaps and the member. This policy is in accordance with our Terms of Use and Privacy Policy. Exceptions may be considered in rare cases not covered by our standard policies, but such agreements must be reached through direct communication between MyHomeSwaps and the member involved.
